For many, iCloud is the personal calendar grown across iPhone, iPad and Mac – Outlook (Microsoft 365 or Exchange Online) the work calendar. Running both side by side means constant double-booking risk: a private doctor's appointment on your iPhone is invisible in Outlook, and someone books a meeting right over it.
Kalender Sync connects iCloud over CalDAV and Outlook over the Microsoft Graph API and keeps both in sync automatically. Per connection you decide whether only "busy" or more is transferred – so your private iPhone life stays private while Outlook still shows correctly when you're free. All without an Outlook add-in.

Create an app-specific password for iCloud
In your Apple ID (appleid.apple.com) create an app-specific password. This requires two-factor authentication on your Apple ID – Apple's standard for CalDAV access.
Connect iCloud & Outlook
Enter your Apple ID email + app password (CalDAV) and connect your Microsoft account via OAuth over the Graph API. Strict tenants approve once via admin consent.
Choose direction & visibility
Set whether it runs iCloud → Outlook, Outlook → iCloud or both ways, and how much is visible: busy only, title + time or full details.

You choose the direction
Set, per connection, whether it mirrors one way only (e.g. Apple iCloud → Outlook) or both calendars keep each other up to date (two-way sync). With two-way, a new event in Apple iCloud automatically lands in Outlook – and vice versa.
Privacy
You decide what's visible
Per sync you pick one of three visibility levels: busy only, title + time, or full event details. Free/Busy is just the data-minimal default, not the ceiling – ideal when your Apple iCloud and Outlook calendars carry different levels of confidentiality. You can even give blocked slots a custom name.
Connection & security
How Apple iCloud and Outlook connect
Outlook connects via OAuth 2.0 through the Microsoft Graph API – "Outlook" covers Microsoft 365, Outlook.com and Exchange Online, with no add-in or COM wrapper. Strict tenants need a one-time tenant-admin consent (see /en/it-admin/). Apple iCloud runs over CalDAV with an app-specific password you create yourself in your Apple ID – we never see your real Apple password, and the app password is stored encrypted. Outlook reports changes via push webhook within seconds; the iCloud CalDAV side is polled every 5 minutes. On-premises Exchange without Microsoft 365 can only be connected read-only via an iCal feed.

Kalender Sync is run by PPJ Venture Labs UG in Munich and hosts exclusively at Hetzner in Germany – no US cloud provider, no overseas servers. For companies there's a data processing agreement (DPA under GDPR Art. 28). Unlike generic guides that copy your event details unfiltered, with us what should stay private stays private.

Frequently asked questions
Do I need an Outlook add-in to connect iCloud?
No. Kalender Sync runs server-side over the Microsoft Graph API and CalDAV – you install nothing in Outlook and need no admin rights for the standard case.
Will my iPhone events show up in Outlook with details?
Only if you want them to. By default private iCloud events appear in Outlook as "busy" only. Content is transferred only when you step up to "title + time" or full details.
Does it work with Microsoft 365 and Exchange Online?
Yes, both run through the same Microsoft Graph endpoint. On-premises Exchange without Microsoft 365 can only be connected read-only via an iCal feed.
Does it sync both ways?
Yes. You can sync iCloud and Outlook two-way or deliberately pick a single direction – configurable per connection.
Does this also cover iPad and Mac?
Yes. The iCloud connection works at the account level, so everything under your Apple ID on iPhone, iPad and Mac is covered.
What does iCloud-Outlook syncing cost?
