Kalender Sync

Infomaniak kSuite ↔ Apple iCloud

Sync Infomaniak kSuite and iCloud Calendar

kSuite for the privacy-minded Swiss work world, iCloud for iPhone, iPad and Mac – Kalender Sync keeps both in sync automatically, one- or two-way and with hosting that never leaves the EU.

Infomaniak kSuite is the Swiss suite alternative to Google Workspace and Microsoft 365 – popular with everyone who deliberately keeps their data in Switzerland. For those same users the private calendar often lives in iCloud, grown over iPhone, iPad and Mac. Two separate worlds means a private doctor's appointment on the iPhone is invisible in the kSuite work calendar – and a meeting lands right on top of it.

Kalender Sync connects both sides over CalDAV – kSuite over Infomaniak's official endpoint, iCloud over Apple's CalDAV – and keeps them in sync automatically. It is the rare case where no US OAuth is involved at all: two European or privacy-oriented providers, connected through a service that hosts in Germany. Per connection you choose the direction and how much is visible – so your private life on the iPhone stays private, while the kSuite calendar still correctly shows when you are free.

Why connect

Why sync Infomaniak kSuite with iCloud?

People who run Infomaniak kSuite make privacy a deliberate choice – Swiss SMEs, freelancers and the self-employed away from the US suites. Those same users are often deep in the Apple ecosystem: the private calendar lives in iCloud, always at hand on the iPhone. kSuite for work, iCloud for private life – without a sync you plan against a calendar the other side never sees. Connect the two and the iCloud calendar at least shows up as "busy" in your kSuite work day, while work appointments appear on your iPhone – without sensitive details leaving the Swiss suite you deliberately picked.

How it works

In sync in 3 steps

01

Create an app password in kSuite

In kSuite, under Security, create an application-specific password. We use only Infomaniak's official CalDAV endpoint – no unofficial workarounds.

02

Connect kSuite & iCloud

Enter your kSuite login + app password (CalDAV) and likewise an app-specific password from your Apple ID (appleid.apple.com). iCloud requires two-factor authentication – Apple's standard for CalDAV access.

03

Choose direction & visibility

Set whether it runs kSuite → iCloud, iCloud → kSuite or both ways – and whether only "busy", title + time or full details are transferred.

One- or two-way

You choose the direction

Set, per connection, whether it mirrors one way only (e.g. Infomaniak kSuite → Apple iCloud) or both calendars keep each other up to date (two-way sync). With two-way, a new event in Infomaniak kSuite automatically lands in Apple iCloud – and vice versa.

Privacy

You decide what's visible

Per sync you pick one of three visibility levels: busy only, title + time, or full event details. Free/Busy is just the data-minimal default, not the ceiling – ideal when your Infomaniak kSuite and Apple iCloud calendars carry different levels of confidentiality. You can even give blocked slots a custom name.

Connection & security

How Infomaniak kSuite and Apple iCloud connect

Both sides run over CalDAV – no OAuth is involved at all. You connect Infomaniak kSuite with an app-specific password generated in kSuite's security settings; Apple iCloud with an app-specific password from your Apple ID (which requires two-factor authentication). We never see your actual account passwords – both app passwords are stored encrypted (ChaCha20-Poly1305). Important for compliance: kSuite calendar data stays in Infomaniak's Swiss data centre, iCloud data with Apple, our own connection logs at Hetzner in Germany (Falkenstein). Because both providers are CalDAV, there are no push webhooks: Kalender Sync syncs both sides every 5 minutes.

Native tools vs. Kalender Sync

Connecting kSuite and iCloud – there is no native way

Neither Infomaniak nor Apple offers a native direct sync between kSuite and iCloud – both speak CalDAV, but each only for its own account. At most you can add an Infomaniak calendar to the Apple Calendar app as a read-only subscription: it refreshes with a delay, applies deletions unreliably and runs in one direction only. Kalender Sync closes the gap – it connects the two CalDAV sides into a true two-way sync where changes land on iPhone, iPad, Mac and in kSuite, and you decide per connection how much is visible.

When something breaks

Common pitfalls — and the fix

One of the app passwords is not accepted – what now?

Make sure you enter the app password for the right side: for kSuite the one from kSuite's security settings, for iCloud the one from your Apple ID. The normal account passwords are deliberately rejected for CalDAV. Paste the password fresh and without spaces; for iCloud, two-factor authentication must be active on the Apple ID.

The CalDAV connection to kSuite fails.

When no connection is established it is usually the login identifier: some Infomaniak setups expect the sync username (e.g. abc12345) instead of the email address – you find both in the Infomaniak Manager. Kalender Sync only ever uses Infomaniak's official CalDAV endpoint; a VPN or a firewall that blocks WebDAV can also break the test.

Events appear twice.

Duplicates almost always show up when the same calendar is also still added manually as a subscription on the other side, or when source and target calendars got swapped. Let Kalender Sync write into a dedicated target calendar and remove any parallel legacy subscriptions – then every event stays exactly once.

"Create new calendar" fails on kSuite.

Calendars created externally over CalDAV are not reliably kept by Infomaniak – creation is confirmed, but the calendar does not exist afterwards. So create the target calendar directly in Infomaniak Calendar, reopen the sync wizard in Kalender Sync and pick "choose existing calendar".

FAQ

Frequently asked questions

Does my kSuite data stay in Switzerland?

Yes. Your kSuite calendar data remains in Infomaniak's Swiss data centre, your iCloud data with Apple. Kalender Sync itself hosts in Germany (Hetzner) – no US sync provider is involved.

Why do I need two app passwords?

Both providers connect external calendar tools over CalDAV rather than OAuth. The secure path is one app-specific password each: one from kSuite's security settings, one from your Apple ID. You can revoke each of them individually at any time.

Does the iCloud sync cover iPhone, iPad and Mac?

Yes. The iCloud connection works at account level, so everything that lives on iPhone, iPad and Mac via your Apple ID is covered.

Does it sync both ways?

Yes. You can sync kSuite and iCloud two-way or deliberately pick a single direction – configurable per connection.

Are my event details transferred?

Only as much as you allow. By default only "busy" is transferred; per sync you can step up to "title + time" or full details.

How fast are changes picked up?

Because both sides are CalDAV, there are no seconds-fast webhooks like with Google or Outlook. Kalender Sync syncs kSuite and iCloud every 5 minutes.

Can I revoke access at any time?

Yes. Remove the sync in Kalender Sync or delete the respective app password – for kSuite in the Infomaniak Manager, for iCloud in your Apple ID. As soon as an app password is revoked, that side's access ends immediately.

What does kSuite-iCloud syncing cost?

One synchronisation is permanently free on the Free plan. kSuite as a CalDAV provider is included from the Basic plan (€4/month). New accounts test all Business features free for 14 days, no credit card.
