Kalender Sync

Tool comparison

Kalender Sync vs. Sync2 – desktop classic or cloud sync?

Sync2 by 4Team has been around for many years: a Windows program that syncs Outlook with Google and across multiple machines – bought once, not subscribed. The approach has genuine strengths, but also a structural problem: the sync lives on your PC. Here's an honest look at where Sync2 is strong and where Kalender Sync makes the difference.

Background

What can Sync2 do?

Sync2 is a Windows program by 4Team Corporation, a US vendor building Outlook tools since 1999. It synchronises Outlook calendars, contacts, tasks and even email folders across multiple PCs – no Exchange server required – and additionally syncs Outlook with Google Calendar, Google Contacts and Google Tasks, one-way or two-way. The Pro licence costs $59.95 as a one-time purchase per user and machine, including one year of updates and support. Officially listed are the classic desktop versions Outlook 2002 through 2019; the current program version is 2.87. Sync2 runs as a local program on your Windows machine – syncing happens while the PC is on.

Strengths

Where Sync2 is strong

Over two decades of Outlook experience

4Team has been building Outlook software since 1999 and is a long-standing Microsoft partner. Sync2 is no weekend project but a mature product with a long history and documented support.

Outlook-to-Outlook without Exchange – including email

Sync2 syncs complete Outlook data sets across multiple PCs, even email folders – without a server. Hardly any cloud sync tool serves this niche, us included: Kalender Sync synchronises calendars, not mail.

Local instead of third-party servers

Syncing runs through your own machine – no additional cloud service sits permanently between your calendars. If you fundamentally don't want another processor in the chain, that's an honest privacy plus.

One-time purchase instead of a subscription

Pay $59.95 once instead of subscribing monthly – for some budgets that's the friendlier math. One year of updates and support is included.

Where Kalender Sync wins

Where Kalender Sync wins

Future-proof despite New Outlook

Microsoft is gradually replacing classic Outlook with the „New Outlook", which no longer supports local COM add-ins and classic desktop integrations. Sync2 officially lists the classic versions Outlook 2002 through 2019 – its world is the old desktop. Kalender Sync works cloud-side directly with the calendar servers (Microsoft 365, Google & co.): which client you use – New Outlook, classic Outlook, web, Mac, iPhone – doesn't matter to the sync.

Sync runs 24/7 – not only while the PC is on

Sync2 synchronises as long as your Windows machine is running. PC off, on holiday, in a meeting marathon without your laptop? Then the sync stops – and exactly in that window double-bookings happen. Kalender Sync runs on our servers around the clock; your double-booking protection has no gap.

Device-independent instead of one sync node

With Sync2, a Windows PC is the sync node – one licence per user and machine, no Mac, no mobile-only setup. You set up Kalender Sync once in the browser (about 2 minutes), and from then on every device benefits automatically: Windows, Mac, iPhone, Android, web.

Genuine live-sharing into other calendars – with two-way sync

Sync2 syncs your own accounts and machines. Kalender Sync not only synchronises bidirectionally between your own calendars, it can also embed your availability into another person's calendar by invitation – as real events, no fragile ICS subscription. They accept once, and from then on everything stays synced automatically.

Three visibility levels per sync – with custom display names

You decide per synchronisation whether only „Busy", „Title + time" or full details are transferred – and you set the name a blocked slot shows up as on the other side. This fine-grained control is designed for sharing with third parties and goes well beyond one-way/two-way options.

GDPR, a German company, a DPA

Kalender Sync is run by PPJ Venture Labs UG in Munich and hosts at Hetzner in Nuremberg – GDPR- and BDSG-compliant, with a DPA for business customers. 4Team is a US vendor; for law firms, schools and companies with works-council agreements, a German contractual partner with a DPA is a real difference.

A free plan instead of a licence per machine

One synchronisation is permanently free with Kalender Sync – no credit card. Beyond that: Basic at €4/month, Business at €10/month, each without per-device licence management. You can try all features free for 14 days.

Decision guide

When should you pick which?

Sync2 is the right choice if:

  • You use classic Outlook on Windows and intend to stay there.
  • You need to sync Outlook data including email folders across multiple PCs – without Exchange.
  • You deliberately don't want a cloud service between your calendars.
  • You prefer a one-time purchase over a subscription.

Kalender Sync is the right choice if:

  • Your sync should keep running when the PC is off – double-booking protection without a time-window gap.
  • You use Mac, iPhone, Android or New Outlook – or will in the future.
  • You want to share your availability live into other people's calendars, with selectable detail levels.
  • You need a German contractual partner with GDPR hosting at Hetzner and a DPA.
  • You want the broadest provider coverage in this comparison: 9 provider types – Google, Microsoft Outlook/M365, Apple iCloud, GMX, WEB.DE, mailbox.org, Infomaniak kSuite, CalDAV and iCal feeds. Kalender Sync is the only tool in this comparison that connects the German providers GMX & WEB.DE.

Ready for calendar sync that runs even without your PC?

Connect your calendars in about 2 minutes in the browser – cloud-side around the clock, GDPR-compliant and hosted in Germany, with genuine live-sharing. The free plan stays free forever.
