Kalender Sync

Tool comparison

Kalender Sync vs. Motion – AI platform or calendar sync?

Motion uses AI to plan your tasks, projects and – lately – entire „AI Employees". Impressive, but from $19 a month. What surprises many: Motion can't actually keep calendars in sync with each other. If that's what you're really looking for, you don't need an AI work platform – you need a sync, at a fraction of the price.

Background

What can Motion do?

Motion (usemotion.com) is a US-based AI work platform that has evolved from an AI calendar into a self-declared „SuperApp": automatic task scheduling, project management with Gantt charts and capacity planning, a meeting assistant, docs and, most recently, pre-built „AI Employees" for sales, support or marketing. The core: Motion automatically schedules your tasks into free slots in your calendar and replans in real time when things change. To do that, it reads the free/busy times of connected Google, Outlook and iCloud accounts. What Motion doesn't do (anymore): mirror events or busy blocks between calendars – its former cross-calendar sync feature was discontinued, and Motion points to specialised sync tools for that job. Pricing starts at $19 per user/month (monthly; cheaper annually) with an AI-credit allowance, teams pay $29; there's a 7-day trial but no permanent free plan.

Strengths

Where Motion is strong

Top-tier automatic task scheduling

Motion's core magic is real: tasks with deadlines and priorities land automatically in free calendar slots, and when something comes up, the AI replans the rest of your day. For people with overflowing task lists, that's a genuine productivity lever.

A full project suite instead of a single tool

Project management with Gantt charts and capacity planning, meeting notes, docs and AI agents – for teams, Motion can potentially replace several tools at once. If you're after that breadth, you get a lot here.

Calendar-aware planning across multiple accounts

Motion connects multiple Google, Outlook and iCloud accounts and respects their free/busy times when auto-scheduling – so your tasks don't land on slots that are already taken elsewhere.

Where Kalender Sync wins

Where Kalender Sync wins

Motion doesn't sync calendars – we do

Motion only reads free/busy times to place tasks. It doesn't mirror events or busy blocks between your accounts – its former sync feature was discontinued. Ask Motion's own resources about „calendar sync" and you'll be pointed to external tools. That exact job is our core product: genuine two-way sync in real time across all connected accounts.

€4 instead of $19+ – with no AI credits

Motion costs from $19 per user per month (billed monthly), with an AI-credit allowance and paid top-ups – over $200 a year, with no permanent free plan. For the pure sync job, that's the price of an entire work platform. Kalender Sync Basic costs €4/month, one synchronisation is permanently free – and nothing burns credits.

Three visibility levels per sync

You decide per synchronisation what arrives on the other side: „Busy" only, „Title + time" or full details – with custom display names for blocked slots. Motion simply doesn't have this kind of fine-grained control for sharing between accounts and with third parties.

Live-sharing into other people's calendars

Kalender Sync embeds your availability into another person's calendar by invitation – as real events, no ICS subscription. Motion offers booking links, but no embedding of your availability into someone else's calendar.

GDPR, BDSG, Hetzner and a DPA instead of a US platform

Motion is a US provider; your calendar and project data run through US infrastructure. Kalender Sync is built in Munich, hosts at Hetzner in Nuremberg and offers a DPA – the decisive point for tax advisors, law firms, schools and companies with works-council agreements.

9 provider types including GMX & WEB.DE

Motion connects Google, Outlook and iCloud. Kalender Sync supports 9 provider types: Google, Microsoft Outlook/M365, Apple iCloud, GMX, WEB.DE, mailbox.org, Infomaniak kSuite, CalDAV and iCal feeds – the only tool in this comparison that includes the German providers GMX & WEB.DE.

A tool that never reshuffles your day

Motion actively intervenes in your day – that's its purpose, but not everyone wants an AI rebuilding their calendar. Kalender Sync never changes your events: it just keeps them reliably in sync, invisibly in the background, in the calendar you already use.

Decision guide

When should you pick which?

Motion is the right choice if:

  • You want AI to plan your tasks and projects automatically and replan when things change.
  • You're looking for a complete work platform with project management, docs and AI agents – not just calendars.
  • Your budget covers $19–29 per user per month plus AI credits.
  • US hosting is no obstacle for you.

Kalender Sync is the right choice if:

  • You want calendars kept in sync – the job Motion doesn't actually offer.
  • You'd rather pay €4 than $19+ for the sync – with a permanently free plan and a 14-day trial without a credit card.
  • You want to control per sync what's visible: „Busy" only, „Title + time" or full details.
  • You want to share your availability live into other people's calendars.
  • You want the broadest provider coverage in this comparison: 9 provider types – Google, Microsoft Outlook/M365, Apple iCloud, GMX, WEB.DE, mailbox.org, Infomaniak kSuite, CalDAV and iCal feeds. Kalender Sync is the only tool in this comparison that connects the German providers GMX & WEB.DE.
  • You need GDPR compliance with German hosting and a DPA.
