Kalender Sync

Tool comparison

Kalender Sync vs. Multical – which sync for your portfolio career?

Multical is the competitor closest to our own audience: built for fractionals, consultants and people juggling several mandates – with unlimited sync and even a lifetime deal. We won't make it easy on ourselves: here's an honest look at where Multical is strong and where Kalender Sync makes the difference.

Background

What can Multical do?

Multical (usemultical.com) synchronises Google, Outlook and Apple calendars and explicitly targets „fractionals, multi-hyphenates and portfolio careerists" – exactly the profile we built our interim & fractional manager page for. Every plan includes unlimited calendar sync with no per-calendar fee, plus custom sync rules with keyword filtering, granular privacy controls, a mobile unified view and scheduling links per role or client. Pricing is $5/month, $50/year or a one-time $200 lifetime deal – each with a 7-day trial and no credit card required. Multical promises „no permanent event storage" and AES-256-GCM-encrypted OAuth tokens; Multical is a US provider (address in Chicago, Illinois per its terms) – however, neither a legal form nor a hosting location is named on the site.

Strengths

Where Multical is strong

It truly understands the audience

Multical builds consistently for people with several roles: unlimited calendars at no extra cost, keyword filters per mandate, scheduling links per client. If you live a portfolio career, you immediately sense that someone here had the same problem.

A lifetime deal instead of a subscription

Pay $200 once and never again – for the subscription-weary, that's an honest, rare offer. $5/month or $50/year are fairly priced too, each with a 7-day trial and no credit card.

Fine-grained rules and scheduling links included

Keyword-based filters decide what syncs where, and each role gets its own booking link. Sync and scheduling from one tool is a genuine convenience win for consultants.

A data-minimal approach

„No permanent event storage" and AES-256-GCM-encrypted OAuth tokens – Multical positions itself credibly privacy-conscious and promises not to sell data.

Where Kalender Sync wins

Where Kalender Sync wins

A contractual partner with a name and address

Kalender Sync is run by PPJ Venture Labs UG (haftungsbeschränkt) in Munich – with a legal notice, a commercial-register entry and German-language support. Multical is a US provider with an address in Chicago, Illinois (per its terms); neither a legal form nor a hosting location is named on the site. If you work inside client tenants as an interim manager, you must be able to tell your clients who processes the calendar data – and where.

A DPA, GDPR/BDSG and Hetzner Nuremberg

A data processing agreement is available with Kalender Sync – included in the Business plan, on request for Free and Basic – hosted GDPR- and BDSG-compliant at Hetzner in Nuremberg. That's exactly what client compliance teams ask about before an external sync tool may touch the company calendar. For Multical, neither a DPA nor a hosting location could be found.

Three visibility levels with custom display names

Per synchronisation you choose „busy only", „title + time" or full details – and set the name a blocked slot shows up as on the other side. Mandate A sees only „busy" from mandate B, with no client name leaking through. That's fine-grained control designed for mandate separation, not just a privacy toggle.

Genuine live-sharing into other calendars

Multical keeps your own accounts in sync and offers booking links outward. Kalender Sync can additionally embed your availability live into another person's calendar by invitation – your client's assistant, for example. No ICS subscription, no import: accept once, and from then on everything stays synced automatically, in both directions.

GMX & WEB.DE and broader provider coverage

Beyond Google, Outlook/M365 and Apple iCloud, Kalender Sync also connects GMX, WEB.DE, mailbox.org, Infomaniak kSuite and iCal feeds (Business plan) – as the only tool in this comparison with the German consumer providers; generic CalDAV is coming soon. Multical stops at the big three.

A permanently free plan

Multical gives you a 7-day trial, then it costs. With Kalender Sync, one synchronisation is permanently free – no expiry, no credit card. Basic costs €4/month, Business €10/month, and all Business features can be tested free for 14 days.

Decision guide

When should you pick which?

Multical is the right choice if:

  • You want a lifetime deal and never want to pay a subscription again.
  • You need scheduling links per role right inside your sync tool.
  • Keyword filters for sync control matter to you.
  • Google, Outlook and Apple are enough for you and compliance questions play no role.

Kalender Sync is the right choice if:

  • Your clients want to know who processes their calendar data – a German company, a DPA, Hetzner Nuremberg.
  • You want to control per mandate what's visible: „busy only", „title + time" or full details, with a custom display name.
  • You want to share your availability live into other calendars – not just send booking links.
  • You want to start on a permanently free plan instead of a 7-day trial.
  • You want the broadest provider coverage in this comparison: 8 provider types – Google, Microsoft Outlook/M365, Apple iCloud, GMX, WEB.DE, mailbox.org, Infomaniak kSuite and iCal feeds (Business plan); generic CalDAV is coming soon. Kalender Sync is the only tool in this comparison that connects the German providers GMX & WEB.DE.
