A client appointment rarely has just one source. It starts at the front desk, through your booking link or as an invitation from the client's mailbox, and then sits in exactly one system. Kalender Sync mirrors it into every connected calendar, so the office, your phone and whoever covers for you all see the same state. How much travels along is set per connection: for cover, the fact that the time is taken is usually enough.
Wherever the appointment starts
Your assistant books it in the firm calendar, your booking tool writes to Google, the client invites you from Microsoft 365. Kalender Sync connects Google, Microsoft, iCloud, GMX, WEB.DE and mailbox.org – both ways on Basic and up, so every one of those paths lands everywhere.
Client scheduling data stays in Germany
How much actually arrives in a target calendar is your call, per sync. Processing is GDPR-compliant, on servers in Germany, built in Munich.
Clients see open slots, not your calendar
Instead of calendar access you send a sharing. The recipient adds it to their own calendar and from then on only sees when you're free. Free includes 1 sharing, Basic 5, Business unlimited.
Cover without a handover list
Holiday or sick leave: whoever covers for you sees the blocked times and can reschedule reliably, without knowing what those appointments are about. Blocked slots can carry a label of your choosing, say “Client meeting”.

Frequently asked questions
Our front desk books into the firm calendar and my booking link writes to Google. Do both come together?
Yes. Each calendar is connected separately, Microsoft over the Graph API and Google over the Google API, both via OAuth. On Basic and up the sync runs in both directions and in real time, so an appointment entered at the front desk blocks the slot in your booking link immediately.
My booking link keeps offering slots that are long taken in the firm calendar. Does a sync fix that?
Yes, that is the heart of the problem. A booking tool only knows the one calendar it reads. Once the firm calendar is connected both ways, every time entered there arrives as busy in the booking calendar and drops out of the offered slots. The two-way real-time sync starts on the Basic plan.
Can whoever covers for me see which client I am meeting?
Only if you set it up that way. By default Kalender Sync transfers nothing but the fact that the time is taken, with no title and no attendees. Blocked times can carry a label of your own, such as “Client meeting”, which gives away no name.
What about appointments that arrive as an invitation from the client?
An invitation you accept in a connected calendar becomes an ordinary appointment there and is mirrored like any other. Nothing to retype, nothing to forward. The only thing that matters is that it lands in one of the connected mailboxes rather than one you left out.
What happens when a client reschedules?
As soon as the change lands in one connected calendar it propagates to the others, in real time via webhook from the Basic plan on. A job also reconciles everything every four hours, so a change the provider never reported still arrives.
