A team in a meeting

Cross-company scheduling almost never fails on technology, it fails on permissions: two IT departments will not hand each other calendar access, and rightly so. Kalender Sync solves it without any mutual access. Each side connects its own calendar and decides for itself how much the other side sees, from “busy” all the way to full details. For organisations of five or more, the Team plan adds central management and organisation-wide policies.

How Kalender Sync helps cross-company planning

A bridge across every provider and company

No matter which system which company uses – Kalender Sync aligns availability across providers automatically. Finally, everyone plans on the same ground truth.

GDPR-compliant & hosted in Germany

Built in Munich, hosted in Germany. Especially in cross-company projects, your data never leaves your hands – the sync runs privacy-compliant and without mutual full access.

Share availability, not the calendar

Share only your free time with partners and external teams – without giving them access to your calendar or insight into details. You keep full control.

Sync in one or both directions

Decide per connection whether calendars are mirrored or kept in sync both ways. So the sync fits every collaboration.

FAQ

Frequently asked questions

Do both companies need to use Kalender Sync?

No. For plain availability sharing it is enough that one side sets up a sharing. The other side is invited and adds it to their own calendar, where your availability appears and stays up to date automatically. Only if both sides want to actively sync does the other side need an account too.

What is in the Team plan and when does it pay off?

The Team plan bundles all Professional features for your staff: central account management, organisation-wide sync and visibility policies, consolidated invoicing and a compliance package with a DPA and an audit log. SSO via Entra ID or Google Workspace is scoped individually on request. It starts at five users and is billed annually, with the per-user price based on your team size.

Our IT will not allow third-party software into the tenant. Now what?

Nothing gets installed. The connection runs over the official Microsoft and Google APIs via OAuth, with no add-in and no browser extension. If IT still says no, there is a second route: a shared calendar published as an iCal feed can be connected read-only, which is included in the Professional plan.

Can our partners see the content of our appointments?

Only what you release. Per sync you pick one of three levels: “busy” only, “title + time”, or full details. The data-minimal level is the default, not the ceiling, and blocked times can carry a neutral label.

Do we need a data processing agreement?

For business use, usually yes. A DPA is included in the Professional tier and available on request for Free and Basic. Hosting is exclusively in Germany at Hetzner in Nuremberg, with no transfer to third countries.
